Scores are yours. The tool only does the arithmetic. Adjust the criteria wording and weights to reflect your facility, and score only after you have seen a live demonstration using your own scenarios.
How the score is calculated
For each vendor, the tool multiplies every score by that criterion's weight, adds them up, and divides by the maximum possible total (score 5 on every weighted criterion). A vendor that scores 5 everywhere gets 100. Criteria with a weight of 0 are ignored.
Tips for fair scoring
- Agree the weights as a group before you see any vendor, so the numbers do not drift toward a favourite.
- Ask every vendor to demonstrate the same scenarios, such as an insurance claim from registration to payment.
- Score references separately from demos. A polished demo is not the same as a facility that runs well every day.
- Treat a low score on a heavily weighted criterion as a warning even if the total is high.
Frequently asked questions
How many vendors should I compare?
Three or four is usually the right number. Fewer gives you no leverage, and more makes demos and reference checks hard to do well.
What does a score of 0 to 5 mean?
Use one shared meaning: 0 not supported, 1 major gaps, 2 partly meets the need, 3 meets the need, 4 meets it well, 5 clearly excellent. Agree this before scoring.
Can I add my own criteria?
You can edit the weights and score every existing row. For extra criteria, add them to your RFP and treat the result as a tiebreaker alongside the scorecard.
Is anything saved or sent?
No. Everything stays in your browser. Download the CSV if you want to keep your scoring.
